Welcome to SocioMantra, a proprietary smart society operating system engineered and operated by CodingMantra (“we”, “our”, or “us”), having its principal office at A 315, Celebration City Center, South Bopal, Bopal, Ahmedabad, Gujarat 380058, India.
This Privacy Policy governs the collection, processing, storage, and protection of personal data and housing society records processed through our cloud web application, mobile interfaces, security guard terminals, and official WhatsApp integration (WACM). We strictly adhere to the Digital Personal Data Protection (DPDP) Act, 2023, the Information Technology Act, 2000, and applicable international data protection standards.
2. Categories of Data We Collect & Process
Resident & Flat Records
Owner and tenant names, mobile numbers, email addresses, flat identifiers (Wing/Flat number), occupancy timelines, and move-in/move-out timestamps.
Vehicle & FastPass™ Data
Vehicle registration plate numbers, vehicle type (2W/4W), designated parking slot allotments (Basement/Stilt), QR sticker tokens, and gate entry/exit scan logs.
Gate Visitor & Delivery Logs
Visitor names, phone numbers, vehicle numbers, purpose of visit (courier, guest, cab, service staff), destination flat, and resident approval/denial records.
Society Documents & Vault
Encrypted flat sale deeds, rent agreements, vehicle RC copies, and society bylaws uploaded by authorized administrators and residents.
3. Purpose of Processing
- To authenticate residents, guards, and committee members via passwordless WhatsApp 1-tap magic links and 6-digit OTPs.
- To enable 0.3-second camera scanning of FastPass™ windshield QR stickers and enforce designated parking slot allocations.
- To deliver real-time gate visitor arrival notifications and dispatch approval/denial commands.
- To maintain an immutable, audit-proof Occupancy Timeline for property resales and tenant move-outs without historical data loss.
- To maintain tamper-proof audit trails for administrative actions, compliance records, and annual general meeting (AGM) reports.
4. Zero-Trust Storage & 15-Minute Cryptographic Signed URLs
All uploaded documents are stored in Google Cloud Storage within secure Indian cloud regions (Asia-South1). Public bucket access is permanently disabled.
When an authorized administrator or resident accesses an uploaded document, our server cryptographically signs a time-limited URL with a strict 15-minute expiration token. After 15 minutes, the URL becomes entirely invalid, preventing unauthorized sharing or persistent external link leaks.
5. Third-Party Sub-Processors
We partner exclusively with enterprise-grade infrastructure providers:
- Google Cloud Platform & Firebase: Encrypted database hosting, user authentication tokens, and Cloud Storage under AES-256 encryption at rest.
- WACM (wacm.in): Official Meta WhatsApp Cloud API gateway partner for dispatching verification OTPs, magic links, and gate entry alerts.
We do NOT sell, rent, or monetize your society data to advertisers or third-party marketing brokers under any circumstances.
6. Your Rights Under DPDP Act 2023
Residents and Society Administrators have the right to request access to their stored personal data, request correction of inaccurate records, and request data exports. Historical occupancy records and audit ledger entries are retained as mandated by cooperative housing society bylaws and statutory compliance frameworks.
